Your privacy is very important to us. This privacy policy (“Policy”) describes the privacy practices of Allstate Insurance Company of Canada, Pembridge Insurance Company, Pafco Insurance Company and Ivantage Insurance Brokers Inc. (collectively, “Allstate”, “we”, “us”, or “our”) for the collection, use and sharing of personal information in connection with your job application and future career opportunities at Allstate.

1. Terms used in this policy

Here are some explanations of terms we use in this Policy:

  • "Personal Information" is information that identifies, relates to, describes, is reasonably capable of being associated with, or could reasonably be linked (directly or indirectly) with you.
  • "Use" of Personal Information means how Allstate processes or handles information internally or via our service providers who act on our behalf.
  • "Disclosure" of Personal Information means how Allstate shares information with third parties who do not act on our behalf.
  • Affiliates” of Allstate located outside of Canada, including its parent company, Allstate Insurance Company.

 

2. How we collect your personal information

Directly from you when you:

  • Create an account and profile on our career portal;
  • Share or use your social media profile to access our career portal;
  • Sign up with us to receive open job postings;
  • Share your resume with us, either via our career portal or through other means; and
  • Take part in meetings, interviews or recruitment activities.

From other sources, such as:

  • Recruitment agencies;
  • Companies who do pre-employment screening for us.

If we hire you, personal information we collect in connection with your application may be incorporated into our human resources system and used to manage the new-hire process.  Any such information can become part of your employee file and used for other employment-related purposes.

3. Types of personal information we collect

As part of our recruitment and pre-employment screening process, the Personal Information we collect, and process, may include:

background check information, past employment history, performance information, skills, spoken languages, learning history & credentials, title, function, any other information included in your resume

 

As allowed by applicable law, we may ask you for demographic information for the monitoring of equal employment opportunity. If you decide not to share this information with us, please be assured this does not affect your application.

You can also choose not to give us the other types of Personal Information when we ask you for them. If you decide not to give us your Personal Information, we may not be able to assess or consider your application.

4. How we use your personal information

We will only use your Personal Information for the purposes we have described in this Policy, or for purposes which are reasonably compatible to the ones described. We cannot, and will not, use it for other purposes without your permission, unless required or permitted by law.

We will use your Personal Information:

(i) In connection with your job application and the recruitment process

 

  • To reply to your application. If someone else referred you to us or we obtained your information from other sources, we will use your Personal Information to contact you and let you know about our recruitment process;
  • To create a profile of you;
  • To assess how suitable your profile is for the job you are applying for;
  • When we evaluate all our candidates and create a shortlist; and
  • To conduct interviews and activities during the recruitment process.

(ii) For pre-employment background checks, if we decide to offer you employment.

 

  • To conduct standard background checks, such as credit checks and criminal background checks. We may share your Personal Information with companies who do these background checks for us. The nature and extent of various background checks (and Personal Information collected) are generally based on the specific role and responsibilities of an employee; and
  • Prepare an offer of employment and other documents we use at this pre-contract stage of our recruitment process.

(iii) To include you in Allstate’s talent pool.

 

  • Consider you for opportunities we have now, or future ones; and
  • To let you know about opportunities or to ask you to update your profile.

 

(iv) To manage and improve our recruitment processes as well as our business operations related to the recruitment process.

 

  • Manage our network and information systems security;
  • Keep records related to our hiring processes;
  • Prepare and perform management reporting and analysis, including analytics and metrics, related to the recruitment process; and
  • Analyzing, improving, or developing our Sites, recruitment processes and programs, networks, or tools using algorithms, analytics software, research studies, surveys, and other similar methods

 

(v) To achieve other purposes.

 

  • To follow applicable laws and regulations;
  • To tell you about changes to our terms, conditions and policies;
  • To support IT security measures designed to safeguard corporate, customer, candidate and employee data and assets, including for maintenance, back-up, and business continuity purposes;
  • To evaluate Allstate's progress in achieving its diversity and inclusion hiring goals to ensure equal opportunity monitoring and reporting; and
  • To respond to and handle your queries or requests.

5. With whom do we share your personal information

We share your Personal Information on a need-to-know basis, and to the extent necessary to follow laws and regulations, and for purposes consistent with the uses described in this Policy.

We share your Personal Information with:

  • personnel in Allstate and its Affiliateswho need to see it to do their jobs (e.g. employees or contractors in the recruiting, human resources, and information technology departments, in the department responsible for the position for which you are applying, or which may be of interest to you, or otherwise involved in the recruiting process).
  • approved third party service providers to facilitate the services they provide to us, including:
  • hosting and operating our career portal;
  • recruiting assistance; and
  • background checking process.

Personal information may also be disclosed to third parties, when required by law or subpoena.

Under no circumstances will Allstate sell Personal Information to any third party for third-party marketing or other purposes.

6. How we protect, store and destroy your personal information

We use technical, physical and procedural security measures to protect Personal Information under our control. We have policies and procedures that address how we protect Personal Information, how we investigate and respond to security threats, and how we anonymize or destroy Personal Information when we no longer need it.  We require our service providers to do the same.  The following are some examples of what we do to protect Personal Information:

  • On an annual basis, all Allstate employees must acknowledge and agree to Allstate’s internal Code of Ethics, which includes a Privacy Policy and Information Security Policy. Employees who violate Allstate’s internal Code of Ethics are subject to disciplinary measures.
  • Only necessary Personal Information is made available to personnel in Allstate and its affiliates located outside of Canada, as well as its service providers, to the extent necessary to follow laws and regulations and for the purposes described in this Policy.
  • Electronic devices, including computers and mobile devices, are password protected and passwords must be changed on a regular basis
  • Before entering into agreements with service providers, Allstate evaluates whether security standards and data handling procedures satisfy its requirements
  • Allstate requires service providers that it contracts to enter into confidentiality agreements and/or agreements which have clauses concerning confidential information
  • Security audits are conducted on information technology systems on a regular basis. We may be required to keep Personal Information after the end of our relationship, to meet business and legal requirements. Once we are no longer required to keep it, we will securely destroy Personal Information.

We will keep your Personal Information for the period necessary to fulfill the purposes outlined in this Policy. Once recruitment and pre-employment screening activities are complete, we may need to keep it longer for business, legal or record-keeping purposes.  Once we are no longer required to keep it, we will securely destroy your Personal Information.

If we offer you employment, and you decide to accept, we will provide you with our Employee Privacy Policy. The Employee Privacy Policy explains how we use, store and protect the Personal Information of our employees.

We and our service providers may access, use and store Personal Information outside of your home province or territory. This means that, just like in Canada, we may be required by law to disclose your information to local governmental or law enforcement bodies. We have procedures to protect Personal Information to the same standard required by Canadian laws no matter where it is located.

 

7. Your privacy choices

If you register on our career portal you may access, review, and change your Personal Information stored therein by logging into your career home account and updating your account information, as appropriate. The updated profile will be used as the default the next time you apply for a job using your account online. To change Personal Information that you have already submitted for consideration for a specific position, please update your profile and resubmit your application for that position. We encourage you to promptly update your Personal Information if it changes or is inaccurate.

As permitted by applicable law, you may request to review, access or correct your Personal Information or request that we cease using your Personal Information. You may make any such request by contacting us as indicated below in the “Contact Us” section below. We will respond to your request consistent with applicable law.

If you object to us using your Personal Information or withdraw permission for us to use your Personal Information, after initially giving it to us, we will respect your choice in line with applicable law. However, by objecting or withdrawing your permission, we may not be able to complete the recruitment and pre-employment screening activities described in this Policy.

8. Links to Third Party Websites

Links to other company's websites may be provided on our Sites as a convenience to you. If you choose to go to these external websites, you will be subject to the privacy practices of those external websites. We are not responsible for the privacy practices of those websites. We encourage you to be aware when you leave our website to read the privacy policies or statements of every third party's website you visit, as those privacy policies or statements may differ from ours.

9. Automated Processing

For certain roles, we may use automated tools to assist us in processing job applications.

These tools compare the information collected in connection with your application with the specific requirements and qualifications of the target role(s) in order to flag any missing qualifications and assist in sorting applications on the basis of professional qualifications and prerequisites, which may vary by job. These tools help us prioritize the application review process and are considered in combination with other information about candidates.

10. Changes to this Policy

We may update this Policy from time to time. An updated Policy will be posted on the career portal or otherwise shared with candidates and will become effective as of the “Last Updated” date shown above. We encourage candidates to regularly view this page to review any updates made to our Policy.
